Executive AssistantJob Overview: Seeking a highly motivated and organized Executive Assistant with the desire to learn and a hungerfor growth. Position will be to support a multi-business entrepreneur grow his companies. The individual must hitthe ground running across a variety of projects and business sectors.The role requires exceptional organizational and time management skills, with a knack for anticipation that willenhance the executive's effectiveness by providing information management and support. The position will entailschedule balancing, project tasks, communication tracking between clients, tracking deliverables with associateddue dates while managing needs for prospective and new opportunities, as well as business development.Job Promise: The experience will provide exposure to the inner workings of the hospitality industry and multipleother businesses. The individual will learn about the inner workings of consulting, business development andoperations. This opportunity may lead to several other growth options across various platforms. The candidate’scompensation will grow as the companies grow.Responsibilities to include but are not limited to:- Maintain executive's appointment schedule including planning client, team meetings and travel- Manage executive’s communications: screen and respond to emails, calls/voicemails, review andcategorize incoming correspondence, maintain contact lists and databases, stay up to date with projectsacross 4+ different companies- Investigate services and products that can improve/streamline/optimize company and work efficiencies- Manage invoice processing and expense reports- Document drafting and execution (including insurance, licensing, etc.)- Occasionally represents the executive by attending meetings and preparing notes, next-step/statusreports by collecting and analyzing information, i.e. - providing historical reference by developing andutilizing filing and retrieval systems- Contributes to team effort by being proactive and anticipating next steps- Maintains client confidence and protects operations by keeping information confidential- Update and maintain the executive’s professional status on company websites, social and professionalplatforms- Develop, direct and mentor an intern to support the EA and execute lower level deliverables- Scheduling and maintaining calendar of personal servicesSkills and Qualifications:The candidate must posses a strong competency in the following areas:- Writing, Reporting, Analytical Thinking, Scheduling, Skilled in all Microsoft Office applications,Organization, Time Management, Presentation Development including PowerPoint, Travel Logistics andVerbal Communication.- Multi-tiered interpersonal skills to maintain and positively interact with clients and professionals at amyriad of sophistication and competency levels. This must be combined with conflict resolution andmotivational abilities.- The candidate must maintain a ‘lead by example’ posture with peers and clients to represent thecompany brands at the highest level of integrity.Compensation will be $1,000 per week for the first 2 months. After a successful integration period and job review,compensation will increase commensurate with the candidate’s abilities for the remaining 10 months of the year.Annual salary review there foreword.
